EvokeAG is one of the largest agriculture and agrifood conferences in the Asia-Pacific, bringing together global delegates, businesses, and innovators. Pappyon is a social networking app designed to connect attendees at events.
Following the Southstart event, this was our next major challenge—adapting the app to a different industry audience with unique requirements.
Background
The challenge
EvokeAG needed the app to integrate with their existing website and support the following new features,
A dedicated feed for attendees to share posts and organisers to share announcements
Display of profile for partners
Attendee privacy preferences
Matchmaking
Meeting booking
Timezone considerations for international attendees.
And we had only 3 months to design, implement and perform testing.
My role
As the sole designer, I worked across both product and team responsibilities:
Designing new flows and UI for mobile and web apps, and admin portal.
Documenting integration requirements for developers.
Created field-mapping documentation for developers (what to pull from the client website, which portal fields to populate, what to add/update).
Facilitated stakeholder testing and onboarded the event organiser team to the app before launch.
Worked closely with three developers working on different parts of the system to deliver within the deadline.
Approach
Integration planning
I worked closely with the EvokeAG organisers to map their event data:
What information was stored on their website?
What fields already existed in our admin portal?
What needed updating or adding?
From this, I created a detailed document for developers, outlining:
Which fields to pull from the website.
Where that data should live in the admin portal.
How it should appear in the app and web app.
Designing for new features
To manage scope and deliver on time, we:
Prioritised features: Focused on attendee-facing essentials first—the announcement area, attendee privacy preferences and matchmaking, then moved to admin portal updates and nice-to-haves features like meeting bookings.
Designed lean solutions: The meeting booking system was released as a basic MVP rather than the full-featured version originally requested because of the time constraints and since it was mainly a nice-to-have feature for the attendees.
Collaborated closely with devs: I worked hand-in-hand with developers daily to ensure designs were feasible and to adjust flows when technical constraints surfaced.
Ran stakeholder testing: I hosted several structured rounds of testing with the event organisers. For each round, I prepared documentation outlining what to test, guided them through the process, and captured feedback systematically. This helped validate flows early and gave us confidence that the features matched organiser and attendee needs.
Made tradeoffs intentionally: When a feature risked taking too long, I simplified flows or stripped back non-essential elements to ensure we still deliver a usable version.
Key features designed
Privacy preferences: Simple opt-in settings for messaging and networking, giving attendees control over their visibility upon joining the event.
Matchmaking: Attendees selected their background + who they’d like to meet, and the app surfaced tailored a separate list of connections based on their selections.
Badges: Visual indicators for sponsors and company reps, improving visibility in attendee lists.
Booking system (MVP): Basic meeting requests, with the foundation for more advanced scheduling in the future.
Website Integration: Ensuring consistency across their website, our admin portal and mobile touchpoints.

Outcome
The EvokeAG 2024 event space was delivered successfully on the Pappyon app with full website integration and new attendee-focused features that was joined by over 1200 attendees and over 25 speakers.
